You should raise a purchase order and enter the order number against each relevant line item in the Order No. column. When you use the search facility on the purchase orders form, you can search for purchase orders that contains an order number.

For example, you raise order number 100100 and place a product with SKU of 100001 on that order.

The customer wants 5 but you only have 4 of item 100001.

Next you raise a purchase order 500100, add the product 100001 onto the purchase order and enter 100100 into the product's Order No. column.

Now when you enter 100100 into the purchase order's search box, it will return purchase order 500100 in the search results.

i dont think i was clear although your reply has helped clear up another matter  

A customer wishes to purchase 10 off item 100001, we have 5 in free stock but he wants the 5 we have in stock today, with the balance of 5 to follow the next day,

so i raise a new order 100100 for 10 off 100001, place an order with the supplier for the balance.

Now then, can i produce a delivery note (in order to get a signature from customer) with the 5 off 100001 that we have in stock, and produce a back order (with the remaining 5 off) so once in i can deliver these and get a signature for the balance?

There's no automatic feature to set this up for you.

You'll need to add the items you have in stock and the ones you want to put on 'backorder' on separate line items on your order. Then in the comments field on each line add an informative comment. These comments appear on your delivery note paperwork.
